Notice of our policies

We understand it is not always possible for parents or guardians to bring their child to an appointment.  If another responsible adult is to bring the child to their appointment, we require a signed consent of the parent or guardian each time this happens (please see our pre-made form). The person bringing the child to their appointment must be at least 18 years old.  This document must include: the date, the patients full name and date of birth, and the full name and date of birth of the responsible adult.

It is our policy to recommend an Adult Endocrinologist if we receive a referral of a patient who has already turned 18 years old.  However, if one of our patients turns 18 years old while under our care, we have the pleasure of continuing to provide our services until transition to an adult healthcare provider.

Our approach to adolescent healthcare is patient-centered.  We encourage our teenage patients to be the leader of their own healthcare team.  However, for legal reasons we require a parent, guardian, or another responsible party to be present in the building at all times during a clinic visit.  This policy still applies if the teen has driven themselves to their appointment.

We kindly ask that all new patients arrive 30 minutes before their appointment time to complete registration and check-in.  We kindly ask that all follow-up patients arrive 15 minutes before their appointment time to check-in and provide any updates to their patient data.

We understand there may be unpredictable circumstances which cause a late arrival.  We kindly ask that you notify us if you think you will be late. Any patient that checks in within 15 minutes after their appointment time will be seen. Any patient that checks in more than 15 minutes after their appointment time may be asked to reschedule for another day.

Missing an appointment without notifying us ahead of time prevents another patient from taking that time slot and receiving care.  Therefore, we kindly ask that you notify us as soon as you realize you will miss your appointment, no matter what the reason is for not coming.

Out of respect and fairness for the other patients needing pediatric endocrine care, it is our policy that after the 2nd occurrence of a ‘No-Call, No-Show’, the patients account will be charged a $15 Missed Appointment Fee.  It is required the account balance be paid in full before the patient will be scheduled again.

Sports physicals should be completed by your child’s primary care physician.  Our provider will be happy to complete any forms related to your child’s endocrine condition.  Please complete as much of the form as possible prior to your visit.  We will strive to complete the form during your visit.  If a form is mailed or faxed to us, we will make every effort to return the form within 7 days.

We are unable to provide a school or work excuse for illnesses unrelated to the patients pediatric endocrinology disorder.  If a patient misses school or a parent or guardian misses work to care for the child, due to an illness related to their pediatric endocrinology disorder, we ask you to notify our clinic on the first day of the absence.  It is our policy not to provide a work or school excuse for absences we were not notified about until after they occurred.

We kindly ask you to request a refill from your pharmacy as soon as you realize your child is down to their LAST 7 DAYS of medication.  We strongly recommend contacting your pharmacy to verify the refill is ready to be picked up before making the trip there.  If there are no refills left on your prescription your pharmacy may offer to contact us directly to request a refill.

If you are enrolled in MyChart we encourage you to submit refill requests through this convenient method.  All refill requests will be processed within 24 hours of when they are received. If a refill request is received after 3:00pm on a Friday, the 24 hours starts at 8:00am on Monday morning.

If you wait until your child is down to their last few doses before requesting a refill from your pharmacy, there is a higher risk of your child completely running out of their medication and missing doses which may negatively affect their health.

The insurance information you provided at registration is recorded in the patients chart. It is the responsibility of the parent(s) or caregiver to update MSPEC if at any time this insurance information has changed. Payment of all co-pays, co-insurance, and deductibles is required at the time of service.

After the insurance claim is processed your insurance company will send you an Explanation of Benefits (EOB). The EOB will show the amount insurance paid for our services. The patient is responsible for paying the remaining balance owed on their account after insurance payments have been posted.  If you do not designate an account to which your payment should be applied, it will generally be applied to the oldest outstanding balance.

Although each patient has a unique medical record number at our clinic, a separate billing account number is created each time a service is given.  You may also receive more than one account statement for a single date of service.  For example, if you received care from our provider in the hospital, you would receive an account statement from MSPEC and another from the hospital.  Another example may be if our provider saw the patient in our clinic but then sent them to another facility for radiology imaging or lab testing, you would receive an account statement from MSPEC and another from the Radiology Center or Lab.

If you are enrolled in MyChart we encourage you to pay your bill through this convenient method. Our billing department is located within a medical practice management company in Jackson, MS.  This is why payments to your account may also be sent to an address in our states capitol.  For questions about your account please call our Billing Customer Service Department at 601-944-9647.

A monthly statement will be issued for accounts which are not paid in full.  If an account is not paid in full within 120 days from the date of the first account statement AND after 2 phone attempts to settle the account, a report will be sent to a collection agency contracted to operate on behalf of MSPEC. In the event this occurs, MSPEC reserves the right to request partial or full payment on overdue account balances before scheduling the patient in the clinic.

If you are enrolled in MyChart we encourage you to view your records through this convenient method.  We are happy to print parts of your child’s records or test results for you at the clinic.  However, due to the time it would take to assemble them, a fee will be applied to requests for records totaling more than 10 printed pages.  Such requests must be directed to our medical record department in Jackson, MS at 601-944-1717.  A Release of Information Form must be completed for your records to be sent outside our system.

No-show, no-call for appointment
